Years after graduating from Guangxi Minzu University, a Thai client contacted us from Thailand. She had studied International Chinese Education in China and later needed to use her Chinese academic documents for official purposes back home.

Like many international graduates, she was no longer living in China when the document request came up. Returning to China just to handle notarization and legalization would have been expensive, time-consuming, and difficult to arrange, so she wanted to know whether the process could be handled remotely.

In her case, the answer was yes. Because she still had the original degree certificate, graduation certificate, and academic transcript, we were able to guide her through the process online using clear scanned copies, without requiring her to mail the original documents back to China.

The Client’s Background

The client was a Thai graduate who had studied International Chinese Education at Guangxi Minzu University in China. After graduation, she returned to Thailand and continued her life and career there.

Many Thai graduates who studied Chinese language, education, or international Chinese education in China may later need their academic documents for education-related employment, school applications, teacher-related documentation, professional review, or other official procedures in Thailand. In these situations, Chinese university documents may need to go through notarization and legalization before they can be accepted by the receiving authority.

Besides her passport and visa/residence permit, the client needed three main documents prepared: her degree certificate, her graduation certificate, and her academic transcript. These are common academic documents requested when a graduate needs to prove her study history, qualification, and academic record.

Documents She Needed to Prepare

The first document was her Chinese degree certificate. This document showed the degree awarded by the university and was one of the key documents for proving her academic qualification.

The second document was her graduation certificate. In China, a degree certificate and a graduation certificate are often separate documents, and both may be requested depending on the purpose of use.

The third document was her academic transcript. Her transcript was issued in Chinese, so the notary office prepared the required English translation as part of the notarization process.

If an applicant already has an English transcript issued by the university, it can also be provided for reference. However, the final translation and notarization format will usually depend on the notary office’s review and the requirements of the receiving authority.

Why Online Handling Was Important

The biggest concern for this client was whether she had to return to China or mail her original documents internationally. For many overseas graduates, academic certificates are important personal documents, and sending originals across borders can feel risky.

In this case, the process could be started with high-quality scanned copies made by a scanner. The client did not need to mail the original degree certificate, graduation certificate, or transcript to us.

This made the process much easier. She could stay in Thailand, send the scanned documents online, confirm the document details remotely, and wait for the completed notarized and legalized documents to be delivered back to her.

Step 1: Notarization in China

The first step was to arrange notarization in China for the three academic documents. The notary office prepared notarial certificates for the degree certificate, graduation certificate, and academic transcript.

The notarial certificates included English translations. For Thailand-related document use, English translations are commonly prepared, although Thai translations may also be considered if the receiving authority specifically requests them.

For the transcript, the original was in Chinese, so the translation was handled through the notarization process. This helped ensure that the academic record could be understood clearly when submitted in Thailand.

The notarization process took about five working days in this case. The exact timing can vary depending on the notary office, document type, and workload.

Step 2: Authentication by the Chinese Ministry of Foreign Affairs

After the notarized documents were issued, the next step was authentication by the Chinese Ministry of Foreign Affairs.

This step is part of the document legalization process for use in Thailand. The authentication confirms the official capacity and signature or seal on the notarized document before it is submitted to the Thai Embassy in China.

For this case, the Ministry of Foreign Affairs authentication took about five working days. Once completed, the documents were ready for the next step: Thai Embassy legalization.

Step 3: Legalization by the Thai Embassy in China

After authentication by the Chinese Ministry of Foreign Affairs, the documents were submitted to the Thai Embassy in China for legalization.

This step is often referred to by clients as “Thailand double legalization” or “Thai Embassy legalization.” In practice, it means the documents go through Chinese foreign affairs authentication first, and then Thai Embassy legalization in China.

The Thai Embassy legalization step took about seven working days in this case. However, applicants should allow some flexibility, because embassy processing times can be affected by Thai or Chinese public holidays, such as Songkran Festival, as well as embassy schedules and document volume.

In total, the process took around 17 working days, excluding international shipping time.

Delivery Back to Thailand

Once the degree certificate notarization, graduation certificate notarization, transcript notarization, Ministry of Foreign Affairs authentication, and Thai Embassy legalization were completed, the documents were arranged for international delivery.

The completed documents could be shipped back to Thailand by DHL. This allowed the client to receive the legalized documents without traveling to China.

For overseas applicants, international delivery is often an important part of the service. It helps complete the process from document preparation to final receipt, especially when the applicant is already living outside China.

What If You Already Have Notarized Documents?

Some applicants may already have Chinese notarial certificates for their degree certificate, graduation certificate, or academic transcript. In that situation, they may only need help with the remaining legalization steps for Thailand.

If the applicant already has the notarized documents, the original notarial certificates usually need to be mailed back to China. This is because the Chinese Ministry of Foreign Affairs authentication and Thai Embassy legalization are applied to the physical notarial documents.

After receiving the original notarial certificates, we can assist with Chinese Ministry of Foreign Affairs authentication and Thai Embassy legalization. Once the process is complete, the documents can be shipped back to Thailand or to another address requested by the applicant.

What This Case Shows

This case is a good example of how overseas graduates can prepare Chinese academic documents for use abroad without returning to China.

For this Thai graduate, the key was having clear scans of the original academic documents and choosing the correct document route: notarization in China, authentication by the Chinese Ministry of Foreign Affairs, and legalization by the Thai Embassy in China.
